Please Read Carefully

By booking your event with Dartmouth Events Ltd, you agree to the following terms and conditions:

Booking, Quotation & Payment

  1. a) We will send you a quotation tailored specifically to your requirements after the initial site meeting.
  2. b) We require a 30% deposit upon booking which is non-refundable.
  3. c) On receipt of our confirmation of the booking please notify us immediately if anything is incorrect or needs changing.
  4. d) The person making the booking must be over 18 years of age and will be held as the person responsible for making all payments in relation to the booking.
  5. e) The final balance is due 6 weeks prior to the date of the event.
  6. f) Non-payment by the due date will be treated as cancellation.
  7. g) For all bookings we require a refundable security deposit

The booking fee:

Is dependent on the package chosen.

Parking

Free car parking is available. Cars and vehicles are parked at owners’ risk; they can be left overnight and should be collected from Higher Dinnicombe by noon the following day. The front drive to the main house should only be used for loading and unloading.

 Beverages

It is agreed that we will provide all the alcohol for your event (wine, beer & spirits) and soft drinks through our serviced “Gin Bar”.  Corkage will be charged on any additional wine supplied by the client.

 Access to the Venue.

You will have exclusive use of the designated area of the venue. Access for setting up will need to be agreed at the time of booking. No decorations should be attached to external walls.

Timings

Timings of the event will be agreed upon when booking. For evening events any music must end by midnight, carriages 12.30 am at the latest. Please make sure your guests are fully aware of this condition and that they have the means to leave the site.

Should you personally leave prior to the last guest, please let us know the name of the person responsible for being the last on-site. Transport arrangements must be made prior to the event.

Facilities

All rubbish must be taken away by you or the caterers.

Responsibilities Health & Safety

The venue has a waterway running through the site. The water is deep and muddy. Under no circumstances should any person enter the water. Children should be supervised at all times, and if they are non-swimmers, we highly recommend that they wear a lifejacket.  Children should be supervised at the Arch wall and steps at all times.  Dartmouth Events can not be held responsible for individuals, their safety and well-being and their property and possessions

Guests and Third Parties should not enter or access any area that is marked private or is clearly cordoned off. This is for the safety of the property as well as the safety of you.

You, your Guests and your Third-Party Contractors must comply with all regulations, instructions and guidance we give you regarding health and safety at the Venue;

All materials and equipment brought to the Venue by you, your Guests and/or your Third-Party Contractors must comply with all relevant health and safety laws and, as far as possible, will be made of non-flammable materials.

Smoke machines, lasers, cracked oil, and dry ice may not be used. Flammable lanterns, naked flames, and similar equipment are not permitted at the Venue.

For confetti & other sprinkles or glitter, please only use natural materials or dried petals.

You acknowledge that if you, your Guests or your Third-Party Contractors cause any damage to the Venue or to any of our property or equipment you will be responsible for such damage and we will be able to claim back our costs of putting the damage right from you.

Any paid performers must have by law public liability insurance and all electrical equipment over 12 months old must be covered by a valid PAT certificate.

All equipment that belongs to you, your guests or a third party must be removed by noon on the next working day. For example, decorations, lost property, floral arrangements, props etc.

Other restrictions

Smoking is not permitted inside any area whether permanent or temporary. Smoking outside of the property is permitted, please ensure that all stubs are disposed of and not left on the ground or in plant containers. Sand pots will be provided.

Cancellation by Us

Very rarely problems can occur which results in us having to change or cancel a booking.  In the very unlikely event, we would only do this for reasons beyond our reasonable control, for example, flooding, fire, damage to the property, etc. In such an instance we would attempt to offer you an alternative date, however, if this is not possible, we would offer you a full refund. We would not be held responsible for any additional costs incurred by yourselves. 

Data Protection and use of images

We will only use your personal information you provide us with for the purpose of hosting the event. We kindly ask that we may take photographs and/or video recordings of the Event to use for promotional purposes including on social media. Please advise in advance if you do not agree to this.

Lost Property

Any lost property will be given to charity or disposed of, if not claimed within 7 days.

We will provide as much assistance as we can to ensure the event runs smoothly. If you have any concerns about these Terms & Conditions, please do speak to us.
